The company is expanding and the program was running slow and running out the space. We migrated the data from Access to SQL Server. This effectively removes the size constraint and make the queries much faster. It allows encrypting the social security numbers and it’s easier to deploy upgrades the code or file templates. To make maintenance easier, we used windows security, so as people come and go, the network admin just has to add or remove the user from a windows group. Using Excel as a front end to a SQL Server database keeps training cost down as most users are familiar with Excel and we use our experience to ‘lock down’ the workbooks to keep data integrity. It also gives the users an easy way to get information for ad-hoc reports and presentations (i.e. Excel to PowerPoint), without having to come back to the developers for program modifications. Now, I’m not a Microsoft mind reader but… here’s why I think Excel is here for a long while. Excel is too easy to use for it to go away. Most people can create a spreadsheet that reflects their business needs. That’s why IT & programmers hate it. The users don’t necessarily have the skills for organizing the data flow or automating the process over multiple clients, time periods or products. That’s where we come in. We can convert the model to a template, automate date retrieval and create code to export it in a variety of ways. Is the data in a database we can get to? We’ll create the links needed to automate the refresh. Need to add extra information, we’ll protect the cells except for the user inputs. Need the data sliced by Supervisor and emailed to them? Done. If a process gets standardized, only then is it a candidate for an App replacing it. They liked the layout they were using, it was just too hard to keep track of all the quotes. Because everyone connected to the network through a VPN, we proposed a SQL Server database and modifying their existing Excel workbook to transmit data to/from the database. We created a separate Excel workbook to summarize the quotes. We also made the Excel workbook query their existing ERP system to retrieve the latest product lists. Adding dropdown lists and formatting to prompt the user to enter all required data. We added a feature to save the data in Excel for the times they may not be connected to the VPN. The next time they connect, the data is saved to the database. During this project, the client’s team requested other enhancements (like hierarchical product list, Alternative Product Names, revised formulas to track distance to customer, etc.) which we made. We then took their PPT file and added ‘tags’ to each slide. Our Excel code refreshes the data from the database, loops through all the PPT slides, reads the ‘tag’ in the slide that tell it where the chart or table is, finds the updated data in Excel, and replaces the existing chart or table.
